Team Dispatch Coordinator
• Maintaining Journey Planner with future deliveries, as well as same day deliveries and changes that may arise.
• Scheduling deliveries and dispatching resources required for each delivery.
• Currently in the process of experimenting on ways that will help reduce forklift/moffett maintenance cost through a KATA board, created a spreadsheet to track downtime of the fleet.
• Communicating and troubleshooting with the drivers on issues that may arise with their deliveries, onsite, or maintenance of their vehicle and moffet.
• Daily communication with each department at Olympic Building Center as well as All Fab via email, text, and phone.
• Overseeing OBC shipping email and maintaining a 15-minute response time for each email, if this is not attainable notifying all parties of issues that may be hindering this and a timeline for when I will respond.
• Researching and taking a hands-on approach on understanding the mechanics of the fleet, moffets/forklifts in order to obtain all information for repairs or issues that may arise.
• Complete daily metrics for the operations team.
• Chaired some team huddles, as well as a driver’s huddle.
Shipping/Receiving Coordinator
• Printing, distribution, and organizing of Delivery Picking Notes and outgoing deliveries for the day as well as 1st AM the next day.
• Use of Epicor to track daily activity of the fleet in order to maintain Journey Planner and notify yard staff of return of trucks to yard to ensure a swift touch time.
• Preparing paperwork for the driver’s next delivery upon return.
• Manage incoming supplier delivery requests, out of town requests, fleet maintenance and post frame deliveries in the appropriate Microsoft Calendars.
• Extensive work in Bistrack, some examples are locating stock amounts for requested products, processing paperwork through to invoicing, creating Purchase Orders for overhead products.
• Traffic Control for incoming customers, this includes notifying customer service and locating Sales Order and pertinent information, so the yard staff is able to help the customer in a timely manner.
Business Administrator
• Processing daily invoicing through Bistrack.
• Working with receiving team to process Purchase orders in a timely manner.
• Creating and finalizing credit notes when customers return product.
• Built a respectable relationship with the Sales team and well as other divisions throughout Olympic.
• Maintained switchboard and OBC Admin email.
• Completed daily metrics for the operations team.
• Created a time tracker log and excel spreadsheet for Winter Roads team to track their work hours between Winter Roads and City.
Office Assistant
• Organize, file, and prepare all relevant income tax information.
• Organize and maintain documents in a paper or electronic filing systems.
