Assistant to Bursary Assistants
• Retrieve, verify, compare details with Bursary Information Module database and prepare request for Vendor Maintenance updates to IMAGIS system through Service Alberta
• E-mail correspondence to internal and external stakeholders and students using Microsoft Outlook
• Scan, upload, or retrieve documents using Documentum database—electronic filing system
• Review bursary applications and enter into spreadsheet
• Verify accuracy of file content and secure confidential records according to FOIP regulations
• Prepare paper folder for new students’ applications, label and file according to Advancing Futures Bursary Program requirements
• Distribute students’ applications to respective Program Coordinator for review
• Send conditional award letters, resiliency letters, and final approval letters to stakeholders and students through fax or email
• Mail out students’/institutions correspondence, and cheques through courier or Canada Post
• Respond to telephone, walk-in inquiries, and direct to Program Coordinators when needed
• Basic understanding about MyAgent, ExClaim, P-Card, ARTS, IMAGIS, and Government of Alberta Financial Process
Administrative Assistant
• Receive, review, and process all documentation in accordance with the Residential Tenancies Act and Regulations
• Enter and close court orders by using Perspective Database
• Mail out court orders to Landlord and Tenants
• Prepare legal packages of documentation for applicants to serve on the appropriate parties
• Develop and organize filing system
• Send records of files in Service Alberta
• Check, commission, and file affidavits of service and process the court orders
• Liaise with the Court of Queen’s Bench, Provincial Court, Transcript Management Services, Landlord and Tenant Advisory Board and other departments and agencies, as required
Administrative Assistant
• Maintain accurate and up-to-date hard copy filing system of land and membership records
• Scan and enter all outgoing and incoming correspondence of MSLR
• Manage all correspondence (mail or general e-mail), faxes, and telephone inquiries
• Prepare expense claims for Registrar
• Manage all electronic documents in MSLRS (Metis Settlement Land Registry System) database
Receptionist and Records Management Clerk
• Respond to telephone, walk-in inquiries, and direct to the appropriate Public Trustee when needed
• Provide information to the public regarding Office of the Public Guardian and Trustee services
• Collect client information regarding various inquiries and secure confidential records according to FOIP regulations by using Public Trustee Information System (PTIS) database
• Maintain up-to-date log identifying current availability and location of approximately 90 employees by using Microsoft Outlook
• Receive and manage incoming/outgoing mail and parcels from various couriers and clients
• Create new estate records and sub accounts in Public Trustee Information System (PTIS) to ensure estate is created in compliance with appropriate office policies
• Update electronic databases by entering charge-outs and dispositions, producing reports on records centre activity
Senior Judicial Clerk
• Organizing and managing administrative processes within the courtroom for family and civil proceedings.
• Maintaining the court record, including operation of the digital recording system; maintaining the decorum of the court
• Entering and being responsible for exhibits entered into the record
• Liaising with judiciary, lawyers, police and general public
• Reviewing and filing documents in adherence with the Alberta Rules of Court and various Provincial and Federal statutes
• Providing assistance to the public and legal community at the counter
Case Officer
•Administers client files by maintaining each file worked in a healthy state
•Inquiring into the whereabouts, employment status, financial affairs, and asset existence of debtors whose files are in a state of arrears
•Mitigates risks of a legal, financial and/or personal nature, to any and all levels of Government
